1. Membership
1.1 The Associates Reward Club customer loyalty program (“Program”) is offered by Aromatherapy Associates Ltd, company number 02108201 whose registered office is at 6 Great West Trading Estate, Great West Road, Brentford, Middlesex, TW8 9DN (“Aromatherapy Associates”).
1.2 The Program is open to all Aromatherapy Associates customers since 12th April 2020, for those who are aged 18 and over.
1.3 These terms and conditions (“Program Terms”) form the agreement between a Program member (“Member”) and Aromatherapy Associates with respect to the Program. When accessing the Program through aromatherapyassociates.com Members are also subject to the Terms & Conditions at aromatherapyassociates.com/terms-conditions. To the extent there are conflicts between these Program Terms and the aromatherapyassociates.com Terms of Use, these Program Terms will apply.
2. Eligibility for Membership
2.1 The Program is free to join (no purchase is required to do so) although purchases are necessary to earn Program Points as detailed in section 7 of these Program Terms. You must actively opt-into the reward club when you create an account here https://www.aromatherapyassociates.com/account/register
2.2 Membership is available to individuals only and is limited to one account per individual and is non-transferable. Employees are not eligible to join.
2.3. Members will only start earning points on purchases from the point they have opted into the Reward Club. You will not earn points for any orders placed prior to actively opting in to join the reward club.
3. Acceptance of terms
By joining the Program, Members agree to these Program Terms.
4. Changes or Program Termination
4.1 Aromatherapy Associates reserves the right to change these Program Terms, adjust your points balance, or terminate the Program at any time, for any reason and without prior notice and Aromatherapy Associates will have no liability to any Members or otherwise with respect to any such change or termination.
4.2 Aromatherapy Associates will post any changes to these Program Terms or any notice of Program termination here. Any such changes or termination will be effective on them being posted. Aromatherapy Associates may also email Members about any such changes but failure to do so will not affect the effectiveness of the Program Change. A Member’s continued participation in the Program after a Program Change will confirm the Member’s acceptance of such changes.
5. Enrolment
5.1 Individuals can enroll in the Program by creating an account at https://www.aromatherapyassociates.com/account/register and accurately completing the required enrollment information. Individuals may only enroll in the Program by using one email address and may not set up accounts under different email addresses.
5.2 Members should promptly advise Aromatherapy Associates of any changes to their name, address, telephone number(s) and/or email address by visiting My Account at aromatherapyassociates.com/customer/account and updating their Member account information. Aromatherapy Associates will not be responsible for a loss of Member benefits resulting from details being out of date or inaccurate.
6. Program Communications
6.1 Unless a Member has opted out of receiving marketing communications by clicking the “unsubscribe” link located in the disclosures portion of emails from Aromatherapy Associates relating to the Program or by contacting Aromatherapy Associates at info@aromatherapyassociates.com, by enrolling in the Program, Member has agreed to receive marketing– and product-related communications from Aromatherapy Associates in a variety of forms, including, but not limited to, emails, text messages and physical mailings.
6.2 You can unsubscribe at any time by clicking the “unsubscribe” link located in the disclosures portion of emails from Aromatherapy Associates relating to the Program or by contacting Aromatherapy Associates at info@aromatherapyassociates.com
7. Earning & redeeming Program Points
7.1 Members will receive points (“Reward Points”) on their Member account through Qualifying Purchases (defined below) and participation in special programs and promotional offers that may be announced by Aromatherapy Associates in its sole discretion from time to time. The amount of Reward Points in a Member’s account is used to determine the Program tier status of the Member. Additional information regarding Reward Points are set forth below:
Qualifying Purchases: means the net value of product purchases made by the Member from aromatherapyassociates.com after deduction of promotional discounts, refunds, credits and delivery costs and rounded to the nearest pound (“Qualifying Purchases”). Only Qualifying Purchases made by the Member from aromatherapyassociates.com count toward Members’ Reward Points accrual. Generally, a Reward Point will accrue for each £1.00 spent for a Qualifying Purchase, rounding down to account for cents in a purchase, although certain promotions or offers may provide for different Reward Points accrual.
Exclusions from Qualifying Purchases: Reward Points will not be awarded on unauthorized or fraudulent purchases, the purchase of gift cards or on purchases made with gift cards. Reward Points will also not be awarded if, in Aromatherapy Associates’ determination, the products purchased will be used for resale or commercial use and any Reward Points previously awarded on such purchases will be forfeited.
Email Address: A current, valid email address is required for a Member to be able to participate in the program and receive Reward Points. Members must notify Aromatherapy Associates of any change of email address by updating Member account information online at aromatherapyassociates.com/customer/account.
Member Identification: Members must sign into their online accounts before checkout in order to receive Reward Points on Qualifying Purchases.
Processing of Reward Points: Reward Points earned from purchases on aromatherapyassociates.com are not credited until 2 days after the date of a Qualifying Purchase. Once Reward Points are credited to a Member’s account, the Reward Points are deemed to be accrued as of the date of the Qualifying Purchase.
Promotional Offers: Special programs and promotional offers for earning Program Points may be made from time to time in Aromatherapy Associates’ discretion. Such offers will be subject to the terms and conditions specified in the applicable program or offer.
Reward Points Balance: Members may view their Reward Points balance at any time by visiting their Member account page at aromatherapyassociates.com/customer/account and clicking on the ‘Rewards’ option.
Redeeming Points: Members can redeem points against one-time purchases only, not in conjunction with subscription 15% off. Points can not be redeemed on discounted products. Points cannot be used in conjunction with any other coupon code.
You can redeem:
50 points (£5 off) with no minimum spend requirements.
200 points (£20 off) when you spend £70 or more.
350 points (£35 off) when you spend £80 or more. This is the maximum amount of points that can be redeemed against an order.
The maximum amount of points that can be redeemed against an order must also not exceed the grand total of the basket. E.g. if your basket total is £28, the max amount of points you can redeem is £20.
You can only use one points coupon per order, coupon once.
8. Program Tiers and Benefits
8.1 The Program consists of three tiers, each with an increasing amount of benefits available to Members. Eligibility for each tier is determined by the amount the Member spends on aromatherapyassociates.com, or the number of successful friend referrals by the Member within each 12-month period, the first of which begins on the date when a Member enrols in the Program.
8.2 The benefits applicable to each tier are described at aromatherapyassociates.com/rewards.
8.3 The three tiers and the spend or “successful friend referral” (see 19. Refer-a-friend program) requirements for a Member to be eligible for that tier are as follows:
Tier 1 Bronze Bottle £1-150, OR, 3 Successful Friend Referrals
Tier 2 Silver Bottle £151-299, OR, 6 Successful Friend Referrals
Tier 3 Gold Bottle £300+, OR, 9 Successful Friend Referrals
9. Expiration of Reward Points & Tier Status
9.1 A new Member will automatically be placed in Tier 1, Bronze Bottle and be eligible for the benefits of that tier. Members will be automatically moved up to the next tier (with the highest tier being Tier 3, Gold Bottle) when they earn Reward Points during each 12-month period sufficient to make them eligible for such upward move. After a Member’s initial 12-month period, each subsequent 12-month membership period shall commence with the Member having the tier status as in effect on the last day of the immediately preceding 12-month period. Such tier status shall continue through the end of that succeeding 12-month period and the next 12-month period shall be based on that prior year’s tier status. For example, if a Member joins the Program on December 1, 2020 and achieves Tier 2, Silver Bottle status within the first 12-month period of Membership, when the second 12-month period begins on December 1, 2021, the Member’s Tier 2, Silver Bottle status continues through November 30, 2022. But if during that second year the Member hasn’t accumulated enough new points to maintain that Tier 2, Silver Bottle status, the Member’s status will reset to Tier 1, Bronze Bottle on December 1, 2022.
9.2 Actions taken (such as money spent or points earned) before the eligibility date will not be counted towards earning or losing a tier status.
10. Returns
Returns of merchandise must be made in accordance with Aromatherapy Associates’ return policy available at aromtherapyassociates.com/customer-service-orders. Upon the return of an item accepted by Aromatherapy Associates, the amount spent on that item and the Reward Points applied to Member’s account for the original purchase will be deducted from that Member’s account.
11. Membership Revocation or Cancellation
11.1 Aromatherapy Associates reserves the right to terminate the membership of any Member and/or terminate any or all benefits that the Member may have earned at any time in Aromatherapy Associates’ sole discretion. In addition, membership will be terminated if, in the sole determination of Aromatherapy Associates, the Member abuses any aspect of the Program, including, but not limited to, fraudulently using the Program, failing to comply with these Program Terms or otherwise earning Program benefits through deception, forgery and/or fraud.
11.2 In the event that Aromatherapy Associates terminates a membership or terminates the Program for any reason, all Reward Points and benefits accrued in the Member account will be forfeited and the Member will not be entitled to any compensation. If a Member decides to no longer be a part of the Program, the Member may cancel their membership by contacting info@aromatherapyassociates.com If a membership is cancelled, all accumulated Reward Points, benefits and tier status will automatically expire.
12. Account Inactivity
If a Member’s account is inactive for a period of twelve-months (12) consecutive months without any Account Activity, that account will automatically be terminated. “Account Activity” means a Qualifying Purchase linked to a Member’s account. Neither logging into a Program account by itself nor use of Reward Points is considered “Account Activity.”
13. Membership Transfers Not Permitted
Program memberships, Reward Points and benefits may not be merged, transferred, purchased, offered for sale, sold, assigned or traded. Doing so will void the Member’s account.
14. No Cash Value
Reward Points and benefits have no cash value, are not exchangeable for cash and may not be used to purchase merchandise or otherwise as payment of any outstanding obligation to Aromatherapy Associates.
15. Data Privacy
Aromatherapy Associates is the data controller of any personal information collected from a Member in order to administer the Program. Aromatherapy Associates takes the protection of Members personal information seriously and Aromatherapy Associates’ Privacy Policy is applicable to the Program. See the Aromatherapy Associates Privacy Policy for information at aromatherapyassociates.com/privacy-policy-gdpr. The Privacy Policy may be updated from time to time, in which case a Member’s engagement in any Account Activity shall be deemed consent to the then current version of the Privacy Policy.
16. Intellectual Property
All design, text, graphics, logos, images, titles, phrases and product names related to the Program and the copyrights, trademarks, service marks, trade dress and/or other intellectual property appurtenant to such materials are owned by Aromatherapy Associates and may not be utilized in any manner by Members.
17. Additional Restrictions
Additional restrictions may apply to employees of Aromatherapy Associates and its affiliated companies and employees of companies with which Aromatherapy Associates does business.
18. Applicable Law and Jurisdiction
These Program Terms are governed by English law and are subject to the exclusive jurisdiction of the English courts.
19. Refer-a-Friend Program
19.1. You can earn £15 (in points) for every “successful friend referral”. You can refer as many friends as you like to aromatherapyassociates.com via the “Refer-a-friend module” found at aromatherapyassociates.com/rewards. A unique link will be generated for you and you have the option to share the link with as many friends as you like via Twitter, Facebook, Messenger, Text Message or Whatsapp.
19.2. A “successful friend referral” is defined as a referee (your friend) who uses the unique link you have sent to them to access aromatherapyassociates.com and make a qualifying purchase worth £75 or more. The referee will be awarded a £15 discount at the checkout.
19.3 Once the referee makes their purchase, Aromatherapy Associates will notify you, by email, that your Program Account has been credited with a £15 reward in points. You can also see the status of your referrals by logging into your account at aromatherapyassociates.com/customer/account selecting ‘Rewards’ and then scrolling to the ‘Refer-a-friend module’ and clicking on “Your Referrals”.
19.4 Membership will be revoked or cancelled if you are found to be using the Refer-a-Friend Program fraudulently or by failing to comply with the program terms which are outlined in section 11 of The Associates Reward Club Terms & Conditions.
